Zoho Campaigns and Zoho Marketing Automation are two different products with confusingly similar names, and South African companies pick the wrong one often enough that it is worth writing down. One sends email to lists. The other tracks behaviour and reacts to it. The gap between those two things is where the money goes.

What is the difference between Zoho Campaigns and Zoho Marketing Automation?

Zoho Campaigns is an email marketing tool that sends to lists, and Zoho Marketing Automation is a lead engagement platform that tracks what people do and triggers actions based on that behaviour. Campaigns pushes messages out. Marketing Automation reacts to what comes back.

Zoho documents the difference between the two products, though the naming does them no favours.

The practical test is whether you need to know what an individual did. If you want to send a newsletter to 4,000 people and see open rates, that is Campaigns. If you want to know that Sipho from a Durban logistics firm read your pricing page three times this week and should be called, that is Marketing Automation.

Most South African mid-market companies asking about “marketing automation” actually need Campaigns for the first year. That is not a criticism. It is a sequencing point.

What is the difference between Zoho CRM and Zoho Campaigns?

Zoho CRM stores the relationship and Zoho Campaigns sends the email, and the two are connected rather than alternatives. CRM is where a contact’s history, deals and owner live. Campaigns is where a message goes out to a list drawn from that data.

The confusion comes from Zoho CRM having its own campaigns feature, which tracks marketing campaigns as records against leads. That is campaign reporting, not email sending. It tells you a lead came from the March webinar. It does not send the March webinar invitation.

Most South African teams running both end up sending from Campaigns and reporting in CRM. That is the intended shape.

What is Zoho marketing automation actually for?

Zoho Marketing Automation exists to convert anonymous website interest into identified, scored leads that a sales team can act on, which only works if you have enough traffic for the behaviour data to mean anything. Below a few thousand monthly visitors, the signal is too thin to score.

The mechanism is lead scoring plus journeys. Someone visits, downloads something, opens two emails, returns to a product page. Each action adds points. Past a threshold, they get routed to a human.

This is genuinely useful when the volume exists. It is theatre when it does not. A B2B company with 300 monthly visitors and an eleven-person sales team should just have the salespeople call the eleven people who filled in the form.

Getting that sequencing right early is cheaper than unpicking it later, and you can have us sanity-check the plan before you commit to a tier.

How much is Zoho marketing automation?

Pricing is published per month with tiers based on contact volume rather than user seats, which is the pricing model that catches marketing teams out as their database grows. The licence you buy at 5,000 contacts is not the licence you pay at 50,000.

Model your cost at the database size you expect in two years, not today. Contact-based pricing compounds quietly, and marketing databases only ever grow, because nobody wants to be the person who deletes contacts.

Actually, deleting contacts is exactly what you should be doing, and POPIA gives you a reason to.

Does POPIA restrict marketing automation in South Africa?

Yes, and section 69 is stricter than most marketing teams assume. Section 69 of POPIA restricts direct marketing by electronic communication to data subjects who have consented to receive it.

There is an existing-customer exemption, and it is narrower than people hope. The contact details must have been obtained in the context of a sale of a product or service, and the marketing must relate to similar products or services. A list of business cards from a conference does not qualify. Neither does a purchased database.

What this means practically: the size of your contact list is not the same as the size of your addressable list. A company with 40,000 records and consent for 6,000 of them is paying for 40,000 and can lawfully mail 6,000.

Audit consent before you buy on contact tiers. It is the cheapest thing on this page and almost nobody does it first.

Worth noting: this also improves your numbers. Mailing 6,000 people who opted in produces better open rates, better deliverability and fewer complaints than mailing 40,000 who did not.

Is Zoho marketing free?

Zoho Campaigns has a free tier limited by contacts and monthly sends, and Zoho Marketing Automation does not meaningfully work as a free product because its value depends on tracking volume. Test Campaigns free. Do not expect to evaluate Marketing Automation that way.

The better evaluation for Marketing Automation is a paid month with real traffic pointed at it. You are testing whether the behaviour data tells you anything, and that question cannot be answered with sample data.

What to do first if you are starting from nothing

Start with a clean, consented list and one repeatable email that works, then add automation once you know what you are automating. Teams that buy the automation platform first end up with sophisticated workflows delivering mediocre content to a list that never consented.

The order that works: fix the list, prove one message, connect it to the CRM, then automate the sequence. Each step is verifiable before the next one starts.

Connecting to CRM matters more than the automation features. A marketing tool that does not write back to where your salespeople live produces reports nobody acts on. That join is most of the value in marketing automation projects and it is the part that gets skipped.

Set one number you are trying to move before you buy anything. Qualified leads per month is usually the honest one. Open rate is usually the comfortable one.

If the honest number is small, you may not have a marketing automation problem at all. You may have a traffic problem or an offer problem, and neither is solved by better email software. That is the conversation our growth engine work usually starts with.

Once the fundamentals hold, the rest of the wider Zoho platform makes each additional piece cheaper to add, because the customer record is already in one place.
